Privacy Policy

How Peterbilt Pacific collects, uses and keeps personal information across our website and customer systems. Last updated August 25, 2026.

Who we are

Peterbilt Pacific is the official Peterbilt dealer for British Columbia. We are responsible for the personal information collected through this website, our service booking tools and our customer communications. We handle it under British Columbia's Personal Information Protection Act and Canada's federal privacy and anti-spam legislation.

What we collect and why

We only collect what a specific purpose needs, and we tell you the purpose at the point we ask for it. Each category below lists what we collect, why, and how long we keep it.

Lead and contact forms

What
Name, email, phone, company, the truck or part you asked about, and the message you wrote.
Why
Answer your inquiry, route it to the right branch, and follow up about the truck, part or service you asked for.
How long
Kept while we are dealing with you and afterwards as a record of the inquiry. You can ask us to delete it.

Saved-search alerts

What
Name, email, phone and the search filters you saved.
Why
Email you when a truck matching your search is published, and let a specialist follow up.
How long
Your contact details are removed after 24 months with no activity; the anonymous search filters may be kept as a demand statistic. Every alert email has a one-click unsubscribe.

Service booking and requests

What
Contact details, unit number, VIN, location, the problem description you provide and appointment history.
Why
Schedule the appointment, perform the work, and keep an accurate service history for the unit.
How long
Kept as part of the service record for the vehicle.

Partly completed forms (drafts)

What
Whatever you had typed into a booking or request form before leaving the page, plus a session identifier.
Why
Let you resume where you left off, and let us follow up if you asked us to.
How long
Deleted automatically after 90 days.

Event registrations

What
Name, email, phone, company, the event you registered for.
Why
Confirm your place, send the calendar file and any change to the event, and follow up after it.
How long
Deleted 12 months after the event unless you also subscribed to our newsletter.

Career-fair and student signups

What
Name, email, phone, program, and a resume if you upload one.
Why
Contact you about apprenticeship and technician opportunities.
How long
Deleted 12 months after the event unless you apply for a role.

Contest entries

What
Name, email, phone, postal code, company and your answers to the entry questions.
Why
Administer the contest, verify eligibility and contact winners.
How long
Deleted 12 months after the winner is confirmed, except records we must keep to show the contest was run fairly.

Parts requests and message threads

What
Contact details, unit, the part you described, photos you upload and the messages exchanged with the parts counter.
Why
Quote and supply the part and keep a record of the request.

Customer portal and manage links

The link we emailed you and the requests and units it shows.

Website analytics (our own, not a third party)

What
Pages viewed, the site that referred you, campaign parameters in the link you followed, approximate region and city derived from your internet address, device and browser type, and simple interactions such as a search, a phone-number tap or a form submission.
Why
Understand which pages, trucks and campaigns are useful, and give the branch that answers your inquiry the context of what you were looking at.
How long
Kept in our own database. Daily totals are kept indefinitely; individual page-view records are used for service and reporting only and are never sold or shared for advertising.

Security telemetry

What
Sign-in and session events for staff and administrator accounts, a one-way hash of the IP address (never the raw address), coarse geography (country and region), and device fingerprint.
Why
Fraud and abuse prevention, detecting account takeover and phishing against our staff systems, and keeping customer data safe.
How long
Individual events are deleted after 180 days. Aggregate counts used for reporting contain no identifiers.

Feedback from our internal tools

What
The message a staff member submits, the page they were on, browser details and an optional screenshot.
Why
Diagnose and fix problems in our internal systems.
How long
Deleted automatically after 24 months.

Cookies and local storage

What
A session cookie when you sign in, preference values (such as filters and theme) and one first-party measurement cookie named ppos_vid.
Why
Keep you signed in, remember your preferences and measure how our own site is used.
How long
Session values end when you close the browser; preferences stay until you clear them; ppos_vid lasts six months and you can delete it at any time in your browser settings.

How we measure our own website

We measure our website ourselves rather than handing your browsing to an advertising company. There are no third-party analytics scripts, no advertising pixels, no third-party cookies and no cross-site profiling on this site.

A single first-party cookie named ppos_vid holds a random identifier for six months so we can tell a returning visit from a new one. It contains no name, email or phone number. Alongside it we record the pages you view, the site that referred you, any campaign parameters in the link you followed, your device and browser type, and an approximate region and city worked out on our own servers from your internet address. We do not store your full internet address against your browsing, and your browser never tells us where you are.

We use it for two things. The first is to understand which trucks, pages and campaigns are actually useful, so we invest in the right ones. The second is context: when you submit an inquiry, the advisor who answers it can see which trucks and pages you were looking at, so you do not have to explain it twice. This data stays in our own database, is never sold, and is never shared for advertising.

You can clear or block the ppos_vid cookie in your browser at any time, and the site keeps working normally. Traffic from our own staff and from automated crawlers is flagged and excluded from our reporting.

Marketing email and consent

We send commercial email, such as inventory alerts for a search you saved, only to people who asked for it. When you opt in we record the date, where you opted in, the country the request came from and the exact wording you agreed to. Every commercial email identifies us by legal name and mailing address and carries a one-click unsubscribe that we honour immediately.

Messages that confirm something you asked us to do, such as a booking confirmation, an appointment change or a link to manage your request, are not marketing and are sent whether or not you subscribe to anything.

How we use automated tools

We use automated tools, including artificial intelligence services, to help our staff work faster: to check the quality of truck photographs, to suggest which department should answer a message, to summarize an inquiry for the person handling it, and to prepare internal reports. These tools do not make decisions about you; a member of our staff acts on every inquiry. Inquiry text and photographs may be processed by an AI service provider under contract terms that prohibit using them for any other purpose. Short, redacted samples are kept for up to 90 days so we can check the tools' accuracy.

Who else sees your information

We do not sell personal information. We use the service providers below to operate the platform, and they may process data outside Canada, which means it can be subject to the laws of the country where it is stored.

We may also disclose information where the law requires it, or where it is needed to investigate fraud, abuse or a threat to someone's safety.

How we protect it

Access to customer data is restricted by role and by branch, staff sign-in is verified, privileged accounts require a second factor, and sign-in and session activity on our internal systems is logged so unusual access can be investigated. IP addresses in our security logs are stored as one-way hashes.

Your choices and requests

You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or withdraw your consent to marketing email. If we cannot resolve your concern, you can contact the Office of the Information and Privacy Commissioner for British Columbia.

We may update this policy as the platform changes. The date at the top always reflects the current version.
